Frequently Asked Questions

FAQ SELF PACED ONLINE COURSE
How long do I have to complete a self-paced online course?

You enjoy6 MONTHS from the date of enrollment. Because the courses are completely self-paced, your educators can fit their professional development around floor shifts, programming time, or personal schedules.

Do you offer discounts for group enrollments?

Yes. We offer group discount packages tailored for Approved Providers and Center Directors who want to upskill their entire team together. Contact us directly with your team size to get a custom group quote.

Multi-Student Enrollments
  • How do I enroll a group of 5 or more educators? When you purchase the course for 5 or more students, you will gain instant access to the course content immediately after checkout.

  • How do my educators get their access? Following your purchase, you will be sent an onboarding form. Simply list the names and email addresses of the educators you wish to sign up. Once we receive your completed form, our team will manually set up their accounts and email each educator their unique login details.

šŸ“§ Note: Please ensure all educator email addresses are accurate on the onboarding form to prevent any delays in sending out their login credentials.

Pay Deposit Option
  • When should I use the "Pay Deposit" option? This option is designed for large groups booking over 10 students, or when your specific number of required enrollments isn't available as a standard option at checkout.

  • What happens after I pay the deposit?

    • Instant Access: You will gain immediate access to the course content right after completing checkout.

    • Enrollee Details: You will receive an automated email requesting the exact number of enrollees along with their names and contact details.

    • Invoicing & Setup: Once you provide that information, we will send you an invoice for the remaining balance and finish setting up the student accounts.

šŸ“ Note: Student accounts for your educators will be finalized and login details sent out once the onboarding details are received.

Assessment Requirements
  • Knowledge Quizzes: You must complete a knowledge quiz at the end of every module.

  • Module Assignments: An assignment for each module must be uploaded before you can progress.

āš ļø Important Progression Note: Both the quiz and the assignment for a given module must be successfully completed and submitted in order to unlock and move on to the next module.

What happens if I fail a quiz or an assignment?
  • Quizzes and Assignments: Because the course requires you to successfully complete and submit both the knowledge quiz and the assignment at the end of each module to unlock the next one, you cannot move forward if you fail a component.

  • Resubmission and Retakes: You will need to retake the quiz or revise and re-upload your assignment to meet the passing criteria. Once successfully completed, the next module will automatically unlock.

ā³ Remember: You have a total of 6 months from your enrollment date to complete all modules and assessments at your own pace.

When will I receive my certificate?
  • Processing Time: Once you have successfully completed the knowledge quiz and submitted the assignment for the final module, your overall course completion will be reviewed.

  • Delivery: After verification, your official certificate will be generated and emailed directly to you.

šŸŽ“ Tip: Make sure to double-check that your full name is spelled correctly in your account profile, as this is the name that will appear on your certificate.

Why does my certificate expire?

Certificates issued in professional sectors like Early Childhood Education and Care (ECEC) carry an expiration date to guarantee ongoing safety, compliance, and high-quality care:

  • Regulatory & Compliance Changes: National quality frameworks, education standards, and Work Health and Safety (WHS) laws change frequently. An expiration date ensures your knowledge stays fully aligned with current legal frameworks.

  • Best Practice Updates: Industry standards and practices evolve alongside new research, technological advancements, and safer operational methods on the floor.

  • Skill Refresher: Regular renewal ensures critical skills—such as managing safe systems of work, maintaining strict hygiene protocols, or responding to medical emergencies—remain sharp, accurate, and top-of-mind.

šŸ”„ Renewal Note: Once your certificate expires, you will typically need to complete a brief refresher module or re-enroll in the latest version of the course to maintain a valid qualification status.

How long does a refresher course take?
  • Significantly Shorter: The refresher course is designed to be much faster than the full course.

  • Pre-Quiz Assessment: It begins with a pre-quiz that tests your current knowledge.

  • Targeted Learning: You will only be required to complete the modules corresponding to the questions you answered incorrectly, allowing you to bypass what you already know.

ā±ļø Fast-Track Certification: This customized pathway ensures you refresh your compliance knowledge quickly without repeating familiar material.

FAQ SAFE SYSTEM OF WORK (SSOW)

1. Fundamentals & Compliance

What is a Safe System of Work (SSOW) in an early childhood setting?

An SSOW is a formal, step-by-step procedure that defines safe methods for carrying out specific tasks in the workplace. It systematically examines a task to identify potential hazards and outlines the exact control measures, tools, and training required to eliminate or minimize risks to educators, children, and visitors.

Why Do We Need A SSOW

From a governance perspective, a Safe System of Work (SSOW) is not just an operational checklist—it is a critical pillar of your service’s legal, regulatory, and ethical framework.

Here are the primary governance-focused reasons why an Approved Provider and Management team need to implement an SSOW:

1. Meeting Legal Obligations under WHS Legislation

Under Work Health and Safety (WHS) laws, Approved Providers hold the primary Duty of Care. You are legally required to ensure the health and safety of workers, children, and visitors "so far as is reasonably practicable."

  • The Governance Link: If a serious injury occurs on the floor, regulatory

bodies (like SafeWork) will audit your service. An SSOW acts as documentary evidence that you have systematically identified hazards, assessed risks, and implemented concrete control measures to eliminate or minimize them.

  • Mitigating Corporate & Personal Liability

In early childhood education and care, board members, directors, and management can be held personally liable for systemic safety failures.

The Governance Link: An SSOW clearly defines who is responsible for what step. By embedding these systems into daily operations, governance teams protect the service from crippling litigation, astronomical fines, and severe reputational damage that could lead to the suspension or cancellation of the service's provider approval.

How does an SSOW support our Quality Improvement Plan (QIP)?

A robust SSOW directly strengthens your QIP by demonstrating a proactive commitment to Quality Area 2 (Children’s Health and Safety) and Quality Area 7 (Governance and Leadership). It provides clear, documented evidence to Authorized Officers during Assessment and Rating (A&R) that your service continuously reviews and minimizes operational risks.

Who is responsible for implementing and maintaining the SSOW?

While the Approved Provider and Nominated Supervisor hold ultimate legal responsibility for implementing the SSOW under WHS legislation, all educators and staff have a duty of care to follow the procedures, utilize the provided equipment correctly, and report any gaps or hazards immediately.

What specific tasks in an ECEC service require an SSOW?
  • What specific tasks in an ECEC service require an SSOW? An SSOW should be developed for any high-risk or repetitive task on the floor. Common ECEC examples include:

    • Nappy changing and toileting procedures (biohazards and ergonomics).

    • Manual handling (lifting children safely, moving heavy outdoor equipment, cot setups).

    • Safe chemical storage and handling for sanitizing environments.

    • Administering medication and managing medical emergency responses.

    • Safe hot drink handling and kitchen exclusion zones.

How does an SSOW differ from a standard center policy or risk assessment?

A risk assessment identifies the hazards and rate of risk, while a policy states the center’s overall stance. An SSOW is the practical "how-to" guide the actual step-by-step safe sequence of actions an educator must follow to execute the task safely on the floor.

How often should our SSOW procedures be reviewed?
  • SSOW documentation should be reviewed at least annually as part of your regular compliance cycle. However, an immediate review is required if there is an incident or "near miss," if new equipment or chemicals are introduced, or if regulatory guidelines from ACECQA change.

What training is required for staff regarding the SSOW?
  • All staff must receive a thorough induction on the center's specific SSOWs before performing relevant tasks. Regular refresher training, practical demonstrations (e.g., correct manual handling techniques), and ongoing supervision are required to ensure compliance is maintained.
